Official Annual Meeting Notice

Dear Member:

The 2022 Annual Meeting of Members of Colquitt Electric Membership Corporation will be held Tuesday, November 1, 2022, at Spence Field (site of the Sunbelt Expo) in Moultrie, Georgia.

Because of the COVID-19 concerns, we will once again be hosting a modified, drive-through meeting. Members will be asked to remain in their vehicles throughout the Annual Meeting process. You will first be directed to drive to the Registration Tent. At the Registration Tent, we will ask for both your Registration Card and an Acknowledgement Card that states you have received documents required at a normal business meeting. These include the acknowledgement of the certification concerning the official notices of the Annual Meeting, and the receipt of Colquitt EMC financial details for the preceding year. After registering, you will be directed to proceed to the Meals/Door Prize Tent where you will receive your meal and Annual Meeting gift. You will then be directed to the appropriate route to exit the Spence Field area. Due to COVID-19, all other Annual Meeting activities have been cancelled. This revised registration process along with the associated handouts will meet the requirements of our business meeting. You will also find information concerning the meeting on Colquitt EMC’s website under “Annual Meeting Guide.”

Registration will begin at 9:00 a.m. and run until 1:00 p.m. Lunch will be served during that time. It will be necessary for you to register for lunch prior to the date of the Annual Meeting so we can determine the number of meals to prepare. Due to the overwhelming response in years past, it will be necessary to limit the total number of lunches to three meals per membership. Lunch reservation forms are in your monthly newsletter. It is very important for you to return these to us by October 18, 2022.

According to the Colquitt EMC Bylaws, the election of directors will be conducted by mail, and the Bylaws allow for district director elections. Therefore, the only members who will be voting for directors this year are those who have memberships in the districts (counties) of the directors who are up for election. Terms of directors in Colquitt and Tift Counties will expire November 1, 2022. In addition, there is a vacancy in Lowndes County due to the passing of Mr. Tommy Cothron last year. Only members in Colquitt, Lowndes, and Tift Counties will be voting for directors in 2022. Members in Berrien, Brooks, Cook, and Worth Counties will have an opportunity to vote for their directors in future years. For those who are voting this year, your ballot is enclosed. It contains the names of all persons from your district who were nominated by the Nominating Committee.

If your membership was active August 31 of this year, you are entitled to vote; and a ballot is attached to your two-part Registration/Acknowledgement Card. Instructions as to the proper marking of the enclosed ballot must be explicitly followed in order to be counted. After removing and marking the ballot, please return to the Cooperative by mail or deliver directly to any district or branch office or to the main office in Moultrie on or before October 14, 2022. Any ballot received in the mail or by hand delivery after October 14, 2022, will not be counted. Failure of a member to receive a ballot for any reason shall not invalidate the voting process.

Although the Annual Meeting process will change, the election process will be handled in the exact same manner as previous years. The only difference will be the way the results will be announced. As previously stated, the results of the election will be provided at the Annual Meeting. The election results will also be available at all Colquitt EMC offices, on our website, and through other social media platforms.

Due to the change in our Annual Meeting, it will be of the utmost importance for you to bring the two-part Registration/Acknowledgement Card with you to the meeting. This should enable you to drive through the registration line with minimal delay.

We have also enclosed a map to assist you in locating Spence Field in Moultrie and a location guide for the correct driving routes within the Spence Field site. Please enter and exit the Spence Field area in the manner described on this enclosed map. Colquitt EMC will have personnel posted along these routes to direct you to the Annual Meeting facilities.
